ChatGPT Setup Guide
Optimal Configuration for Real Estate Professionals
Get ChatGPT working at maximum effectiveness. This guide covers settings, custom instructions, and workflow optimization.
Initial Setup
Step 1: Subscribe to Plus ($20/month)
- Go to chat.openai.com
- Sign up or log in
- Click "Upgrade to Plus" in the sidebar
- Complete payment
Why Plus? GPT-4 is dramatically better than the free GPT-3.5. The difference is like comparing a college intern to a seasoned professional.
Step 2: Download Desktop App
- Go to openai.com/chatgpt/download
- Download for Mac or Windows
- Install and sign in
- Set up your keyboard shortcut (see below)
Step 3: Configure Keyboard Shortcut
This is the most important step. With a hotkey, ChatGPT is available anywhere instantly.
On Mac:
- Open ChatGPT desktop app
- Go to ChatGPT menu → Preferences → Keyboard
- Set shortcut (recommended:

On Windows:
- Open ChatGPT desktop app
- Go to Settings → Keyboard Shortcuts
- Set shortcut (recommended:
Alt + Space)
Test it: Press your shortcut from any app. ChatGPT should appear instantly.
Custom Instructions Setup
Custom Instructions tell ChatGPT who you are and how you want it to respond. This is where you paste your Context Card.
How to Set Up
- Click your profile icon (bottom left)
- Select "Customize ChatGPT"
- Fill in both sections (see below)
Section 1: "What would you like ChatGPT to know about you?"
Paste your Context Card here. Example:
I'm a residential real estate agent in [City, State] specializing in [specialty].
My typical clients are [description].
My communication style is [warm/professional/casual/direct].
I never use these phrases: [your hate list]
My brokerage is [name]. I've been licensed for [X] years.
When writing for me, match my voice: [2-3 sentences describing how you actually talk]
Tip: Keep this under 1,500 characters. Focus on what affects AI output.
Section 2: "How would you like ChatGPT to respond?"
- Be direct and concise. Skip the preamble.
- Write in my voice, not generic AI voice.
- For real estate content, assume I'll edit before sending.
- Never use these words: [your hate list items]
- Format emails ready to send (subject line included).
- For social media, keep posts under 150 words unless I ask for longer.
- Ask clarifying questions if my request is vague.
- When I say "shorter," cut by at least 30%.
Memory Settings
ChatGPT can remember things across conversations.
Enable Memory
- Go to Settings → Personalization
- Turn on "Memory"
- ChatGPT will now remember facts you share
What Memory Is Good For
- "Remember that I focus on luxury properties over $1M"
- "Remember that I never cold call"
- "Remember my assistant's name is Sarah"
What Memory Is NOT Good For
- Client-specific information (privacy risk)
- Transaction details (changes frequently)
- Anything confidential
How to View/Delete Memories
- Settings → Personalization → Manage Memory
- Review what ChatGPT remembers
- Delete anything outdated or sensitive

Responses Are Generic
- Check that Custom Instructions are saved

- Include context from your Context Card in the prompt
Keyboard Shortcut Not Working
- Make sure desktop app is running
- Check that shortcut isn't conflicting with another app
- Try a different key combination
Memory Not Working
- Confirm Memory is enabled in settings

- Check Manage Memory to verify it saved
