How to use AI connectors in your real estate business.

A polished asset sitting in a chat window is unfinished. This class shows you how to route AI work into your CRM, your drafts, and the right person's inbox, with connectors where they exist and a clean manual handoff where they don't. You stay the one who decides what goes live.

Part 1

Distribution means delivery.

Marketing people hear distribution and think reach. When AI is making your assets, distribution means getting the best version of the work to the place it creates value, ready for the next action. A CRM note is distribution. So is an email draft.

    Internal

    The client summary goes in the CRM, the property facts go in the deal file, the next step goes in your task system. Nobody outside sees it. It still counts.

    External draft

    The email, text, direct message, or social post, prepared and waiting where a human can review it.

  3. 03

    External live

    The published page, the sent email, the posted content. Same work, a different permission level.

  4. 04

    The rule

    Choose the destination and the permission level before you generate the asset, not after.

Stop the copy-paste relay.

Here's where finished work stalls: between the chat and the tool it belongs in. You copy it, switch windows, paste it, fix the formatting, and forget the last step. Routing it on purpose is the difference between work you made and work that's doing something.

Build it once for work that repeats.

If you handle the same kind of thing the same way every time, like a lender update, don't start fresh each time. Once a long back-and-forth gets the output right, ask the AI how to get there in one step next time, and save that answer as a file you load at the start.

Part 2

Connectors are the delivery layer.

A connector links your AI assistant to the tools where your facts live and where finished work belongs. OpenAI now calls many of them apps. The name matters less than the job: trusted context in, finished work out. Some only read. Some can create drafts or update records. Never assume connected means allowed to send.

    Read

    Pull source facts from Drive, your CRM, your email, or another trusted system instead of pasting them by hand.

    Create

    Turn those facts into a CRM note, a document, an email draft, a personal message, or a social post.

  3. 03

    Place

    Save or update the work in the connected tool, when that connector supports the action.

  4. 04

    Confirm

    Sending, publishing, deleting, or changing client data is a consequential action. A human checks it first, every time.

Make the distribution plan first.

It's tempting to generate first and then wonder where it goes. Reverse it. Pick one real asset, like a listing page or a client summary, and have the AI choose the few destinations that actually move the work forward. Read the last line of the prompt twice. Distribution is an operating decision, not a content quota.

Read my context, including my business, brand, guardrails, client consent rules, and the asset I am working from: [DESCRIBE OR PASTE THE ASSET].

Before creating anything, build a distribution plan. For every useful destination, show me:
1. The destination: CRM, deal file, task system, email draft, client message, live page, or social post.
2. Whether it is INTERNAL or EXTERNAL.
3. Whether the correct state is NOTE, DRAFT, SCHEDULED, or LIVE.
4. What value this destination creates and what the next action is.
5. Which connected app or manual fallback can place it there.
6. What facts, permissions, or human approval must be checked first.

Recommend the smallest set of destinations that moves the work forward. Do not create more content just to fill channels.

Then route one source into four places.

One approved source becomes an internal CRM note, an email draft, one social draft, and one personal share for someone who went quiet. If the connector can place the draft, good. If not, the output comes back ready to paste with the exact place it goes.

One source, four destinations

Use my context and this approved source asset: [PASTE OR REFERENCE THE ASSET]. Create only these four outputs:

1. An INTERNAL CRM note with the asset link, who it is for, and the next follow-up step.
2. An EXTERNAL EMAIL DRAFT to the right person, in my voice, with one easy next step.
3. One PUBLIC SOCIAL DRAFT for the platform where this asset is most useful.
4. One PERSONAL SHARE DRAFT for a specific past client, friend, or lead who went quiet.

Use connected apps to read source facts or place drafts only when that capability is available and authorized. Never invent a fact. Never send, publish, delete, or change client data without showing me exactly what will happen and asking for confirmation. If a destination is not connected, give me the copy-ready output and name the exact place to paste it.

Part 3

Be easy to find. Then answer fast.

An AI-readable profile and FAQ.

Some buyers and sellers now ask an AI who to hire. You can't force the answer. You can make the public record about you clear. Write one plain profile paragraph: who you help, where, your specialty, and two or three true, specific facts. No superlatives. Then answer eight to ten real questions people in your market ask, in your voice. Only facts from your context. Anything unverified gets marked VERIFY before it's published. Keep your name, market, and specialty the same everywhere.

A click isn't a client.

Distribution only creates value when a response becomes a conversation. Reply while the person is still thinking about it, and speak to what they actually asked. Your context knows your voice. The client's file knows what matters and what you're allowed to say. Together they let AI draft the first reply in seconds. You make the call and send it.

Fast, personal first reply

Read my context and my guardrails, and this client's file, including their consent rules.

Someone just replied to me: [PASTE WHAT THEY SAID, REDACTED]. Draft my first reply:
1. Warm and human, in my voice, not a form letter.
2. Speak directly to what they actually said or asked.
3. Give one clear, easy next step: a question back, a time to talk, or a specific page to look at.
4. Obey this client's consent rules exactly. Never mention anything on the do-not-mention list. Follow all my guardrails.

Keep it short. I want to read it, tweak one line, and send it.

Before you close the laptop today: route one approved asset to one internal destination and one external draft. Connect one tool, or write down the manual handoff for it. Then watch which replies turn into conversations. That's the complete route: asset, destination, response, conversation.

What is an AI connector?

A connector is a trusted bridge between an AI assistant and another tool, like Google Drive, your email, or a CRM. ChatGPT now calls many of them apps. Some only read. Some can create a draft or update a record. What a connector can do depends on the app, your plan, and the permissions you grant.

Can ChatGPT or Claude send emails or update my CRM for me?

Some connectors can take actions like that, depending on the tool and your permissions. Connected doesn't mean allowed to send. Treat sending, publishing, deleting, or changing client data as consequential, and have the AI show you exactly what will happen and wait for your confirmation.

What if my CRM doesn't have a connector?

Use a clean manual handoff. Ask the AI for copy-ready output and the exact place to paste it, like the notes field on the contact record. The plan is the same with or without a connector. Only the last step changes.

How do I get AI to recommend me as an agent?

Nobody can guarantee it. What you control is the public record about you. Publish a plain, factual profile that says who you help, where, and what you're known for, keep it consistent everywhere, and answer the real questions buyers and sellers ask. What should I say when someone replies to my outreach?

Reply while they're still thinking about it, and answer what they actually said. Give one easy next step, like a question back or a page to look at. Draft it from your context and the client's consent rules, read it, change a line, and send it yourself.
